Process

How PenPost works

A campaign is a list of people, a message, and a series of physical mailpieces. Software coordinates the work. A human writes each letter.

  1. 01

    Create the campaign

    Name the campaign, choose an objective — prospecting, thank-you, reactivation, event follow-up — and decide whether this is a one-time mailing or a recurring sequence.

  2. 02

    Provide recipients

    Upload a CSV, add people by hand, or later import from a CRM. Addresses are validated. Each recipient is stored as a person, not as a row count.

  3. 03

    Write the message

    Use a template or write from scratch. Personalization variables such as first name, company, and city are substituted per recipient. AI assistance for drafting is planned; the final letter is still handwritten.

  4. 04

    Choose how it should look

    Select stationery, envelope style, and a handwriting style. In later phases you may request a particular scribe where that is appropriate.

  5. 05

    Scribes write each piece

    Work is assigned to vetted human scribes. They write with real pens. Quality review happens before a piece is approved to mail. Rework is a first-class state, not an afterthought.

  6. 06

    Mail, track, follow up

    Approved mailpieces are posted. Unique QR codes and short URLs can attribute engagement to the physical piece. You can record replies, leads, and conversions against the same record.
